2. Scope of this policy

This policy applies to:

  • third-party tours, stays, retreats, and travel services booked through Sunday Stories as an intermediary or travel agent;
  • self-operated Sunday Stories products, where applicable;
  • bespoke itinerary planning, curation, and consultation services.

Different cancellation rules may apply depending on whether Sunday Stories is acting as:

  • an intermediary for a third-party supplier; or
  • the direct organiser of a Sunday Stories product.

Your due-diligence memo also notes that some booking structures may trigger package travel or linked travel services obligations depending on how services are combined and sold.

3. Third-party operator bookings

Where Sunday Stories acts as an intermediary / travel agent for tours, accommodations, retreats, transport, or other services provided by third-party operators, cancellation, amendment, and refund rights are subject to the terms of the relevant third-party supplier and/or booking platform.

This means:

  • the supplier’s own cancellation terms apply to the relevant booking;
  • refund amounts depend on what the supplier or platform allows;
  • Sunday Stories is not obliged to provide any refund beyond the amount actually recoverable from the relevant supplier, unless applicable law requires otherwise.

Your due-diligence memo confirms that your intermediary model for selling third-party tours is permitted.

4. Self-operated Sunday Stories products

For products directly operated by Sunday Stories, the following cancellation rules apply unless different terms are stated in writing at the time of booking:

  • cancellations made more than 72 hours before the scheduled start time are eligible for a refund of sums paid, less any clearly disclosed non-recoverable costs;
  • cancellations made within 72 hours of the scheduled start time are non-refundable.

If a booking includes costs already committed to third parties on a non-refundable basis, those costs may be deducted from any refund.

5. Bespoke planning, consultation, and design fees

Any planning, consultation, itinerary design, research, curation, or concierge fee charged by Sunday Stories is non-refundable once work has begun.

This applies even if:

  • you later decide not to travel;
  • you do not proceed with a recommended itinerary;
  • a third-party supplier is unavailable;
  • a booking is not completed.

6. Changes requested by you

If you request a change to a confirmed booking, we will try to assist, but changes cannot be guaranteed.

Requested changes may result in:

  • additional charges;
  • revised pricing;
  • loss of deposits;
  • supplier amendment fees;
  • cancellation and rebooking charges.

For third-party bookings, all changes remain subject to the relevant supplier’s terms.

7. Cancellations due to unavoidable or exceptional circumstances

If unavoidable, exceptional, or extraordinary circumstances materially affect the performance of a trip or the ability to travel, any rights to cancel or obtain a refund will depend on:

  • the legal classification of the booking;
  • the applicable supplier terms;
  • and any mandatory rights under applicable law.

Your due-diligence memo states that under Georgian tourism law, for package travel, a tourist may terminate before the trip starts and may in some cases cancel without a fee where unavoidable and exceptional circumstances significantly affect performance of the package or transport to the destination.

8. No-shows and unused services

If you fail to arrive, join, or use a booked service without valid cancellation in accordance with the applicable terms:

  • the booking will usually be treated as a no-show;
  • no refund will be due unless the supplier’s terms expressly allow it.

Unused portions of a trip or service are generally non-refundable.

9. How refunds are processed

Where a refund is due:

  • it will be processed to the original payment method where reasonably possible;
  • timing may depend on banking systems, payment processors, and supplier repayment timelines;
  • any non-recoverable third-party charges, transfer costs, currency conversion losses, or payment processing fees may be deducted where permitted and previously disclosed.

If Sunday Stories must wait for repayment from a third-party supplier before issuing your refund, your refund may be delayed accordingly.

10. Non-refundable items

Unless otherwise stated in writing, the following are generally non-refundable:

  • bespoke planning and design fees once work has started;
  • any non-refundable supplier deposits;
  • last-minute booking charges;
  • administrative or amendment fees already incurred;
  • services described at the time of booking as non-refundable.

11. Mandatory legal rights

Nothing in this policy limits any mandatory rights you may have under applicable consumer, tourism, or package travel law.

Your due-diligence memo states that statutory rights under Georgian tourism law cannot be excluded simply by describing a business as an intermediary, and that additional rules may apply where a booking qualifies as linked travel services or package travel.
